The tips and tricks given under would help each one who uses the Microsoft Word. The tricks are so versatile that each one can develop its own one. The tricks given below are to bring the similarity in the uses of the tricks by each one, to any computer. This will enable the users to easy work and improve the efficiency as well as consume less time, and speedy work. Chapter 1: Macro

Chapter 1 Macro : how to create.

Macro in the Microsoft word : This is vary useful utility under the Microsoft word which saves the lot of repetitive work. Like creating same type of letters (heading, subject, name of the officer with designation, etcc) , assessment orders (proforma) , regular proformas etc..

 Generally in our department for same type of letter of one officer are been used by “copy” from old letter & “paste” in new document, or using the “save as”. This is also a good “trick”. However in this case, whole old letter is there and one is require to delete the old texts.
 The other way is the create the macro and press to key (CTRL+. . , or ALT + ...), and your proforma will be ready. This enable, other person to create the proforma (when one is in-charge of with the some other office). So, similarity in key to be used in macro on each computer requires. So, every one is using the same key to generate letter will do in each computer.
 Now the steps that how to create the macro.

 Open Microsoft word , new document.
 Go to “tools” >>(Apart from mouse, you may do this by pressing Alter key and “O”)
 Then Press “Macro”
 Then Press “Record New Macro”, the following screen appears.


 In the Macro name write “letter_proforma”. [This is for our example you may assign any name]. In the macro name do not use blank.

 Now through mouse press on “Keyboard” [ You may also complete this action by pressing the Alt+K key ].

 Now press the combination of keys you want to use, In our example use “ALT+L”
 Now press on close button.
 The above screen now disappears and Stop button will appears.
At any corner of the document.
 Please note that mouse function at this juncture is disable, except “stop” the macro. On the above shown picture.
 Now through key board type what ever you want to type. In our examplet start from heading of the letter, i.e. “Office of the” , … No. ITO/ …, date , to, date (use, insert date, so each time the exact date will appeared) type footer..
 After completion of the letter press “stop”. You micro is created.
 Now when ever you want to type the letter just press ALT+L and your letter (proforma) gets typed within second. And you can edit the subject matter and body of the letter.
Sample macros
 For the beginner please try to make smaller macro like only heading of the letter. (Like Office of the Assessing Officer , address , date)
 Then try for footer of the letter. (like name, designation, also do some formatting like justification of text, paragraph setting)
 For similarity of key to be pressed for run of specific macro for specific proforma, share your work with under signed. So, it will be same for every body.

Chapter 2 : Auto Correct.

Chapter 2 Auto correct : how to

Auto correct utility is generally to correct the incorrect words (spelling). Like “teh" is typed instead of “the” and so on. This utility will be very well used in typing the frequently used words in the department. The list are give below, however, first we will see how to use auto correct.

 Go to “Tool” in the menu.
 Go to “Auto correct”. The following screen will appears.

 In the box below the “Replace:” type the incorrect word. Say your name with spelling mistake.
 Box below the “With” type the incorrect word. Say you correct name.
 Press OK.
 The auto correct is created. To see who it works in the document, type your name with the spelling mistake you entered in the auto correct. Press the space bar. You will notice that Microsoft word has automatically corrects your name. (the correct spelling you entered)

 In the department if following is used as auto correct. It will be easier for every body to work smoother in any computer in the department. Where we are using similar terminology.

So, take interest in printer, its setting in computer, printer’s own setting, papers you input in the printer, learn little about normal hard ware working of the printer. When you print the paper go through the printer settings.

In the page set up select appropriate page style and margins you want. As far as dot matrix printer, we are generally using 12*8.5 (inches) paper. So, set this settings in the document. This will not create problems in printing the continuous printing.

In the ink-jet and laser printing, choose your paper style, it may be A4, B4. This will enable you to have proper typed letter. By this you may save paper, ink , your valuable time, others’ (clerk & Assessing Officer’s) time in clipping more than one paper.

It is worth to mention that ITD, a departmental network software is created by the software expert. At the higher level software people, they uses high end printer for their out put. One spends most of the time working on a computer during the day. It’s not difficult to spot a person on a traffic signal working on his/ her laptop. If we talk about offices, even the smallest of them cannot survive without a computer. PC’s have become the modern day basic necessity.

In order to work faster you need to take care of your computer, as that would save a lot of your time and help you work more competently, proficiently and knowledgeably. Here are few precautions you must take to keep your computer working well:

1) When you use the keyboard, use keyboard short cuts. Do not pick up the mouse; this will increase the speed of your work.

2) Keep in mind that the computer is machine and develop to assist you. As the computer understands the machine language, give your order to computer in a way you want get it done for you, in the way the computer understand it.

3) For giving necessary instructions to computer, you yourself is required to updated with “how to instruct the computer to do the work”.

4) Feel free to share your knowledge and quires with other users around you. This will enable you more to know.

5) In our department the office is being changed as per the transfer policy. So, keep in tune with same formatting of Microsoft word. This will enable you in other office and other in your office a smooth working on Microsoft word.

6) Install a good anti virus that keeps your computer virus free while working on the internet.

7) Don’t see inappropriate sites / files. .Specially in office. For the reason not only it is morally incorrect, but also it affects the overall image with your surroundings people. Also the adult stuffs are used for virus to spread.

8) Avoid using pirated and cheap software’s that can create problems to your computers proficiency. Do not install each and every software you come across ( Games, Music etc.. ) This will jumbled the computer system. (Use one software for Movie (Media player , additional MP3 may be installed) , For editing documents Microsoft’s Word is sufficient. Also install Acrobat reader for reading the scanned document, Tow to three games,

9) Avoid a dusty or moisture environment for your computer; keep it clean and away from dust and moisture.

10) Avoid too many application software’s in the startup while your computer is booting as that slows your computer speed.

11) Always try and keep your computer free of temporary files and cookies.

12) Keep on application software files or operating files like Windows on your C drive because if that crashes it can be reinstalled.

Apart from above, please keep in a mind that the papers are made from the trees. By minimizing wastage of paper, you are silently contributing the “save Tree / environment”

The Registry has to be one of the least understood aspects of the Windows operating system family. Even seasoned professionals approach it with a degree of caution, knowing that a wrong entry can potentially wreak havoc on the system. To understand the Registry is to get to the heart of controlling and modifying your Widows system. With a detailed understanding of what you are doing, you can turn your machine into a lean performance machine, customize and personalize its appearance, and get fine-grained control over nearly every aspect of how Widows XP behaves.

Some History

The Registry was introduced as a way out of the "INI files mess" that plagued early versions of Windows. Configuration information regarding the operating system, application files, hardware, and so on were stored in INI files scattered all over the system. For example, when an application is installed, it needs to know various parame­ters regarding the operating system and the available hardware. Much of this information is common to other applications as well. However, if there was any change in the hardware or operating sys­tem software, updating the application's INI files used to be hell.

The Registry was conceived as a way out of this madness. It is a hierarchical database that stores information regarding the hard­ware, operating system software, application software, users prefer­ences and system preferences. The hierarchy separates the machine information, user information and the software information into logically discrete units that can be manipulated with greater ease. Any changes made by users, the operating system, newly installed software, and hardware are all updated and reflected in the Registry.

During system startup, Windows uses the registry to get con­figuration data regarding the hardware, software and other peripherals that have been configured. It also maintains a backup copy of the registry with which the system had successfully start­ed up last. Hence, if it encounters a problem with the current startup, it can then use the configuration information from the backup to attempt to start the system. Some of the information stored in the registry is specific to the particular startup session only, and is mostly user-specific. When a user installs new soft­ware, Windows will either make the installation user-specific .or system-wide. In some software, the user is given the option to select whether the installation should or not be available to every­one else who uses the system. In other cases, the software will install itself system-wide and save user specific information sepa­rately, making entries in the registry that are both user-specific as well as system-wide.

For example, when you install Microsoft Office, the program is installed system-wide, but the user information is specific to the cur­rently logged-in user. Any preferences that are made are stored under the username in the registry. If another user logs in and starts Microsoft Office, the default preferences are initialised, and a new entry is created in the Registry under this username.

This flexibility has deeper significance when considering a net­worked scenario. Administrators can specify user rights and access to various system and network components. They can control what users can and cannot do on their machines with a fair degree of granular control. For example, Administrators can specify that users are not allowed to install new applications on their machines. A Registry entry disabling the users' right to install would secure the system. And a Registry entry can be made to prevent unauthorized access to the registry itself

However, the Registry has not done away entirely with the legacy of INI files, partially due to Microsoft's commitment to backward compatibility and partially because in some cases the Registry wouldn't be available-as in the case of the boot process, when the boot.ini file is used to get the initial startup information.

Critics of the Registry concept point to it ~ a "single point of fail­ure." If the Registry is damaged, XP will fail to start up, and in most cases will require a complete reinstall. It is for this reason that the Registry is hidden deep in the system, and any discussion on the tweaking the Registry is accompanied by dire warnings of disaster if one does anything wrong. Also, if an application doesn't uninstall correctly, it can leave traces in the registry, which over time will increase its size and affect performance.

Physically, the Registry information in' XP is stored in multiple files in the \System32\Config folder of the operating system (or root) folder-usually C:\ Windows or C:\ WINNT. These files cannot be edit­ed directly; they have to be accessed through a Registry-editing pro­gram such as Regedit.exe or Regedt32.exe.

Through the registry many problems / irritation can be resolved. as this is not for the learners and beginner.
