Chapter 10 : Some good reading for the Assessing Officer

1. Concentration

As physical exercises strengthen the body, concentration increases the strength of mind. Strong mind is not easily affected or disturbed by trials and tribulations of life. For improving concentration whatever activity we may be engaged in, we should try to be totally absorbed in it, however trivial it may be. At that time, except this activity (and associated things) the whole world should be dead for us. For example, even if we are eating a fruit at a moment, we should completely relish each morsel of fruit with our attention totally dedicated to it. If we are bathing, we should relish this activity fully, deriving maximum benefit from it by keeping our attention totally anchored to it. If you are reading a book, be totally absorbed in it for that time oblivious of any other thing. You should also learn to concentrate on uninteresting things also to develop real control of mind.

Concentration, in other words, means to learn to remain in the present moment which is the most desirable feature for success and happiness in life.

2. Welcome difficulties and problems of life, they are for our good :

Regarding various problems, pains and discomforts which we face in life, we should try to develop the philosophy that these have not come to us for frightening. In fact these pains and discomforts are the very things we need at this moment to strengthen and grow wherever we are lacking. They are the trials and tests for us. Instead of opposing them, we should, at such occasions stop for a while, do some self-evaluation and in'trospection and learn the needed lesson from them. We can derive some benefit and learning from every problem or difficulty of life and exploit it to our advantage. This is a wonderful law of life. In every adversity and difficulty, ask yourself what message this problem has brought for me and what benefit I can derive from it. You must come out wiser and more mature after going through a problem.

If we fight with these discomforts and accuse ourselves and others, we are simply invoking a new chain of ,-'Jse and effect and making matters worse. Remember that everything which happens to us in life is for our good only.

In the apparently looking cruel and adverse circumstances is hidden the infinite mercy of God which we can realise if we properly contemplate upon it. That is why enlightened persons always thank God in problems and consider them as 'Prasad' of God. They never question God, but, simply flow with His decisions accepting everything and avoiding nothing.

You have been placed by God exactly where you deserve. This placing is actually needed by you for your growth or for working out or balancing some karmas. Once you play your present role successfully, you will be automatically shifted to the next higher place.

Perpetual resolution

> Vow not to make a promise you don’t think you can keep. Pay a debt. Give a soft answer.

> Free yourself of envy and malice. Make a genuine effort to stay in closer touch with family and good friends.

> Drop an old grudge, and replace it with some pleasant memories. A good laugh can be very good medicine.

> Resolve to stop magnifying small problems and shooting from the lip. Words that you have to eat can be hard to digest.

> Find the time to be kind and thoughtful. All of us have the same allotment: 24 hours a day.

> Apologize when you realize you are wrong. An apology never diminishes a person; it always elevates him/her.

> Don’t blow your horn. If you’ve done something praiseworthy, some one will notice it eventually.

> Try to understand a point of view that is different from your own. Few things are 100 per cent one way or another.

> Examine the demands you make on others. Lighten up. When you feel like blowing your top, ask yourself, “will it matter in a week from today?” Laugh the loudest when the joke is on you.

> The sure way to have a friend is to be one. We are all connected by our humanity, and we need each other.

> Avoid backbiters and pessimists. They drag you down and contribute nothing.

> Don’t discourage a beginner from trying something risky. Nothing-ventured means nothing gained.

> Be optimistic. The can-do spirit is the fuel that makes things go.

> Read something uplifting. Deep-six the trash. You won’t eat garbage – why put it in your head?

> Don’t abandon your old fashioned principles. They never go out of style.

> When courage is needed, ask yourself, “if not me, who? If not now, when?”

> Walk tall, and smile more, you’ll look ten years younger.

> Don’t forget to say, “thank you,” say it again. They are the sweetest words in the world.

Let this year be better than all the others. Vow to do some of the things you’ve always wanted to do but couldn’t find the time..

Chapter 1: Macro

Chapter 1 Macro : how to create.

Macro in the Microsoft word : This is vary useful utility under the Microsoft word which saves the lot of repetitive work. Like creating same type of letters (heading, subject, name of the officer with designation, etcc) , assessment orders (proforma) , regular proformas etc..

 Generally in our department for same type of letter of one officer are been used by “copy” from old letter & “paste” in new document, or using the “save as”. This is also a good “trick”. However in this case, whole old letter is there and one is require to delete the old texts.
 The other way is the create the macro and press to key (CTRL+. . , or ALT + ...), and your proforma will be ready. This enable, other person to create the proforma (when one is in-charge of with the some other office). So, similarity in key to be used in macro on each computer requires. So, every one is using the same key to generate letter will do in each computer.
 Now the steps that how to create the macro.

 Open Microsoft word , new document.
 Go to “tools” >>(Apart from mouse, you may do this by pressing Alter key and “O”)
 Then Press “Macro”
 Then Press “Record New Macro”, the following screen appears.

 In the Macro name write “letter_proforma”. [This is for our example you may assign any name]. In the macro name do not use blank.

 Now through mouse press on “Keyboard” [ You may also complete this action by pressing the Alt+K key ].

 Now press the combination of keys you want to use, In our example use “ALT+L”
 Now press on close button.
 The above screen now disappears and Stop button will appears.
At any corner of the document.
 Please note that mouse function at this juncture is disable, except “stop” the macro. On the above shown picture.
 Now through key board type what ever you want to type. In our examplet start from heading of the letter, i.e. “Office of the” , … No. ITO/ …, date , to, date (use, insert date, so each time the exact date will appeared) type footer..
 After completion of the letter press “stop”. You micro is created.
 Now when ever you want to type the letter just press ALT+L and your letter (proforma) gets typed within second. And you can edit the subject matter and body of the letter.
Sample macros
 For the beginner please try to make smaller macro like only heading of the letter. (Like Office of the Assessing Officer , address , date)
 Then try for footer of the letter. (like name, designation, also do some formatting like justification of text, paragraph setting)
 For similarity of key to be pressed for run of specific macro for specific proforma, share your work with under signed. So, it will be same for every body.
 My internet id is r.r.makwana@gmail.com
 You may make any query, and confirmation of the keys and proforma.
 This will bring consistency in typing the various letters.

Chapter 3 : Printer and Microsoft word

Chapter 3 : the printer and Microsoft word

Be aquatint with printer also. Because what ever you worked on computer will finally comes through the printer. So, take interest in printer, its setting in computer, printer’s own setting, papers you input in the printer, learn little about normal hard ware working of the printer. When you print the paper go through the printer settings.

In the page set up select appropriate page style and margins you want. As far as dot matrix printer, we are generally using 12*8.5 (inches) paper. So, set this settings in the document. This will not create problems in printing the continuous printing.

In the ink-jet and laser printing, choose your paper style, it may be A4, B4. This will enable you to have proper typed letter. By this you may save paper, ink , your valuable time, others’ (clerk & Assessing Officer’s) time in clipping more than one paper.

It is worth to mention that ITD, a departmental network software is created by the software expert. At the higher level software people, they uses high end printer for their out put. It seems that the paper settings are not according to the dot matrix printer what we are actually using. However one (we) can not do anything in it. We have nothing to left but to accept their settings, and bear the problems in printing the various letter like calling of bank details of the assessee, and other reports ITD generates.

Chapter 4 General :

Chapter 4 General :

One spends most of the time working on a computer during the day. It’s not difficult to spot a person on a traffic signal working on his/ her laptop. If we talk about offices, even the smallest of them cannot survive without a computer. PC’s have become the modern day basic necessity.

In order to work faster you need to take care of your computer, as that would save a lot of your time and help you work more competently, proficiently and knowledgeably. Here are few precautions you must take to keep your computer working well:

1) When you use the keyboard, use keyboard short cuts. Do not pick up the mouse; this will increase the speed of your work.

2) Keep in mind that the computer is machine and develop to assist you. As the computer understands the machine language, give your order to computer in a way you want get it done for you, in the way the computer understand it.

3) For giving necessary instructions to computer, you yourself is required to updated with “how to instruct the computer to do the work”.

4) Feel free to share your knowledge and quires with other users around you. This will enable you more to know.

5) In our department the office is being changed as per the transfer policy. So, keep in tune with same formatting of Microsoft word. This will enable you in other office and other in your office a smooth working on Microsoft word.

6) Install a good anti virus that keeps your computer virus free while working on the internet.

7) Don’t see inappropriate sites / files. .Specially in office. For the reason not only it is morally incorrect, but also it affects the overall image with your surroundings people. Also the adult stuffs are used for virus to spread.

8) Avoid using pirated and cheap software’s that can create problems to your computers proficiency. Do not install each and every software you come across ( Games, Music etc.. ) This will jumbled the computer system. (Use one software for Movie (Media player , additional MP3 may be installed) , For editing documents Microsoft’s Word is sufficient. Also install Acrobat reader for reading the scanned document, Tow to three games,

9) Avoid a dusty or moisture environment for your computer; keep it clean and away from dust and moisture.

10) Avoid too many application software’s in the startup while your computer is booting as that slows your computer speed.

11) Always try and keep your computer free of temporary files and cookies.

12) Keep on application software files or operating files like Windows on your C drive because if that crashes it can be reinstalled.

Apart from above, please keep in a mind that the papers are made from the trees. By minimizing wastage of paper, you are silently contributing the “save Tree / environment”
